Christian Au Pairs provides a personal Christian au pair matching and support service for families and au pairs. This policy explains how we collect and use personal information when you visit the website, contact us, create an account, apply, upload documents, or use our service.

The information we collect
We collect information directly from you, from your account and application activity, from references or background-check processes you take part in, and from families or au pairs involved in a possible or active placement. This may include:
- contact details, account details, correspondence, and support messages
- family household information, including details about children and childcare needs
- au pair profile information, experience, availability, preferences, and placement history
- Christian faith, church, character, family, lifestyle, and reference information
- passport, visa, right-to-travel, identity, background-check, and safeguarding information
- photos, profile materials, uploaded files, health information, and emergency contact details
- technical information such as device data, security logs, cookie choices, and analytics events
We do not collect or store payment card details in the current product service.
Special category and sensitive information
Because this is a Christian matching service, we may ask about Christian faith, church, references, health, safeguarding, background, family circumstances, and other sensitive information. We use this information only where it is relevant to providing the service, assessing suitability, supporting a placement, or meeting legal and safeguarding responsibilities.
Religious-belief and health information are special category data. We ask for separate explicit consent to use that information for assessment, personal matching, safeguarding, programme processing, and placement support. You can withdraw consent at any time, but this may mean we cannot continue an application or placement where the information is objectively necessary for the requested service.
Criminal-conviction information is governed by separate rules. We ask au-pair applicants for a separate consent to use the information they provide for suitability, safeguarding, programme checks, and placement support. Before processing it, we must also document an Article 6 lawful basis and an applicable condition under Schedule 1 of the Data Protection Act 2018. Different conditions may apply where processing is necessary for safeguarding, legal claims, or a legal obligation.
How we use personal information
We use personal information for the following purposes:
- to respond to enquiries and help people choose the right family or au pair pathway
- to create and manage accounts, applications, documents, references, and placement records
- to assess eligibility, safeguarding, suitability, Christian context, and practical family fit
- to introduce families and au pairs as part of our personal matching service
- to provide placement support, handle concerns, maintain records, and improve the service
- to secure the website, prevent misuse, meet legal duties, and manage business administration
- to understand website performance and improve the site through Google Analytics
We do not sell personal information. We do not use cookies for marketing or third-party advertising tracking.
Our lawful bases
We process personal information where it is necessary to take steps before entering into a service relationship, to provide and manage the service, to comply with legal obligations, and for legitimate interests such as safeguarding, account security, service improvement, administration, and support. We rely on consent where required, including for non-essential cookies and for some sensitive information.
Children's information
Family applications may include information about children in a household. Parents or guardians should only provide information that is relevant to the au pair arrangement, childcare needs, safeguarding, and family matching. We use this information carefully and only for the service purposes described in this policy.
The applying parent or guardian must be authorised to provide the information. We ask them to explain this use to each child in an age-appropriate way where appropriate. We share only the details needed for assessment, a proposed match, safeguarding, and placement support.
Cookies and analytics
We use cookies and similar technologies that are necessary for the website, account access, security, forms, and saved preferences. We also use Google Analytics to understand how visitors use the site and to improve the service.
Analytics cookies are not used for marketing or third-party advertising tracking. Where consent is required, analytics cookies should only be set after you have made a choice through the site's cookie controls.

Who we share information with
We share information only where needed to operate the service, support placements, maintain the website, or meet legal and safeguarding responsibilities. This may include:
- Netlify for website hosting and delivery
- Supabase for authentication, private file storage, and database storage
- Resend for transactional and service emails
- Google Analytics for website analytics, subject to cookie choices where required
- authorised USA programme sponsors and other programme partners where needed for the programme you request
- professional advisers, insurers, regulators, authorities, or law enforcement where necessary
We may also share relevant profile, reference, and family information between a family and an au pair when this is part of the matching and placement process.
International use of information
Christian Au Pairs operates worldwide, so information may be reviewed or shared across borders when assessing an application, introducing a match, or supporting a placement. Some service providers may also process information outside the UK. Where required, we rely on UK adequacy regulations or put appropriate contractual safeguards in place, such as the UK International Data Transfer Agreement or Addendum, and carry out the required transfer assessment. Contact us to ask about the safeguard used for a particular transfer.
How long we keep information
We keep records only for as long as needed for the purpose for which they were collected and for any applicable safeguarding, complaint, legal, tax, insurance, or dispute period. An au-pair profile is deleted no later than two years after placement, or earlier after a valid deletion request unless a lawful reason requires us to retain particular information.
Sensitive documents such as passport, visa, background-check, health, and reference files should be reviewed sooner and deleted when they are no longer needed for the application, placement, safeguarding, or legal purpose for which they were collected.
Security
We use access controls, private file storage, account authentication, and operational safeguards to protect personal information. No online service can guarantee absolute security, so please contact us promptly if you believe your account, files, or correspondence have been compromised.
Your rights
Depending on where you live and how we use your information, you may have the right to:
- ask for a copy of your personal information
- ask us to correct inaccurate or incomplete information
- ask us to delete information where we no longer need it
- ask us to restrict or object to certain processing
- ask for certain information in a portable format
- withdraw consent where we rely on consent, including explicit consent for special category data
- complain to the UK Information Commissioner's Office if you are unhappy with how we handle your data

Automated decisions
We do not make solely automated decisions about applications or matches that have legal or similarly significant effects. Our team reviews applications and makes personal matching decisions.

We may update this policy as the website, account features, application process, providers, or legal requirements change. When changes are material, we will take reasonable steps to bring them to the attention of people affected by the change.
